Setting up a Charity Challenge

our key staff have all worked as senior charity
event fundraisers - so we know exactly
what you need to make an event succeed.
Here are a few pointers to
get you thinking about what you need to consider
when setting up a charity challenge.
Choose the Right Challenge
- We advise that you start
planning your challenge event 12-14 months
in advance
- If this is your first
overseas challenge you may decide to choose
a tried and tested event from our current
list or we can design a new challenge for
you
- Decide what type of event
would be suitable for your charity. Build
a profile of your current supporters and try
and identify a challenge that could appeal
to them
- Decide on how many participants
you would like to participate
Then calculate the event
costs per person with how much money you want
to raise:
Example:
- If the TUTC trek
costs per person £1200
- Charity fixes (non-refundable)
entry fee £200 and sponsorship
target £2500
- Minimum amount received
by each trekker £2700
Total raised for the charity £1500
per person (minimum amount raised as
on average participants will raise more).
30 trekkers X £1500 (minimum)
= £45,000! (minimum!)

Marketing and Recruitment
- After fixing your entry
fee and sponsorship levels, you are ready
to produce your marketing material and begin
recruiting your participants.
- Make a promotional plan
to recruit participants e.g: charity newsletters,
supporter base, newspapers, magazine and radio
advertising/editorial, companies, local clubs,
gyms etc
- Produce promotional literature:
flyers, posters, event information packs with
itineraries and fundraising packs.
- Aim to try and recruit
your participants at least 8-9 months before
the trip departs to allow them enough time
to fundraise.
Supporting Your Participants
- It is essential you have
someone responsible for supporting your participants.
(This could be a Fundraiser internally or
an outside source). They will need to provide
fundraising tips and advice, plus motivate
them about the charity, and answer general
queries on training and the event itself.
- Support you participants
through newsletters, personal telephone contact.
- Hold an event information
day: An Ultimate Leader will be able to attend
and speak in more detail about the event.
- Begin to build long-term
relationships with you participants.
